8004041C - An internal QuickBooks error occurred while trying to access the QuickBooks company file.

Resolving Error Code 8004041C

The size of your QuickBooks file and the number of DB File Fragments determines the health of your QuickBooks company data file. Most people don’t periodically check the health of their QuickBooks file to help prevent data corruption {such as this} – mainly because they don’t realize that they should or even how to go about it.

Rebuild your QuickBooks company data file.  From the QuickBooks File Menu ->Choose Utilities ->Rebuild Data.  For additional information about the rebuild function, see this blog post - QuickBooks Tip - How To Rebuild your QuickBooks Data File.

This could be a fairly long process, especially if you have a large data file.  Do not be concerned if the Rebuild function appears to "hang or do nothing' at 99% during the first pass or at about 50% on the second pass, it simply means that QuickBooks has found problems in your file and is working diligently to correct them.

8004041B - Unable to lock the necessary information

8004041B - Unable to lock the necessary information to allow this application to access this company data file.  Try again later.

Resolving Error Code 8004041B

Make sure QuickBooks is accessible {meaning can you open it and work in it} and try again.

 

8004041A - This application does not have permission to access this QuickBooks company data file

8004041A - This application does not have permission to access this QuickBooks company data file.  The QuickBooks Administrator can grant access permission through the QuickBooks Edit menu -> Preferences -> Integrated Applications preference, Company Preferences tab.

Resolving Error Code 8004041A

The QuickBooks Administrator must grant initial access rights permissions for a QuickBooks 3rd party application while being in Single-User mode.  If you do not know your password, search the web or contact Intuit for help in determining your password.

Exit the error.  Open QuickBooks with the correct company file, logged in as the QuickBooks Administrator and in single-user mode.  You must have Administrator privileges to perform the functions described below. From the top QuickBooks menu; choose Edit, Preferences, scroll to Integrated Applications, and choose the Company Preferences Tab.  If the program is not listed, exit the Preferences section and run the program again, granting permissions, as shown below.

If the applications are present, make sure that the top two boxes on this screen are not checked. Below these check boxes is a box listing applications that have requested access to your QuickBooks company file.

For Certified Payroll Solution and Wage Manager Solution - make sure that there is a check mark under the "allow Access" column, highlight the application name and click on the Properties button.  In this window, you will want to make sure "Allow this application to access this company file" is checked and "Allow this application to login automatically" is also checked.  The "Login as" drop down box should be set to Admin or someone with the same privileges as the Admin.  Additionally, you will want to make sure that "Allow this application to access Social Security Numbers, customer credit card information, and other personal data" is also checked.

For Construction Application for Payment Solution - make sure that there is a check mark under the "Allow Access" column, highlight the application name and click on the Properties button.  In this window, you will want to make sure "Allow this application to access this company file" is checked and "Allow this application to login automatically" is also checked.  The "Login as" drop down box should be set to Admin or someone with the same privileges as the Admin.

 

80040419 - This application's certificate is invalid

80040419 - This application's certificate is invalid.  An application must have a valid certificate to access the QuickBooks company data file.

Resolving Error Code 80040419

This error could happen occasionally, if it does, contact the developer for assistance.  Certificates do expire (need to be renewed) and it could be that you just need to apply an update from the third party developer. 

We have also seen this error occur when an application has a valid certificate on occasion, especially if you are also experiencing internet connection issues.

 

80040418 - This application has not accessed this QuickBooks company data file

80040418 - This application has not accessed this QuickBooks company data file before.  Only the QuickBooks Administrator can grant permission to access a QuickBooks company file for the first time.

80040414 - A modal dialog (message) box is showing in the QuickBooks user interface.  Your application cannot access QuickBooks until the user dismisses the dialog (message) box.

Resolving Error Code 80040414

Switch to QuickBooks, and close the message box/window that is currently open within QuickBooks - most of the time this window could be a reminder, the Application Permission window, or some other window that is seeking permission or assistance from you before it can continue. 

Once you close that window, switch back to the integrated application, try again, and the problem should be solved.

 

80040413 - QuickBooks does not support the RollbackOnError value

Close other applications (programs) and try again.

Acquire more memory for your computer.

Rebooting your computer is an option here as well, and might produce the desired results.

8004040A - A QuickBooks company data file is already open and is different from the one requested.

Resolving Error Code 8004040a

Only one QuickBooks file can be accessed at a time per PC.  Switch back to QuickBooks, close the company file, open the proper file, and then try again.

Make sure you have the correct QuickBooks file specified.  All third party applications need to know which QuickBooks file it's supposed to be working with.  Perhaps you initially created a test file to experiment with, or you have recently upgraded to a new version of QuickBooks, or someone has moved your company data file.

For Certified Payroll Solution - Open QuickBooks with the correct data file and from the Certified Payroll Solution System Setup Menu, choose System Preferences and the Data Locations Tab.  Delete all of the information in the white box below where it says "QuickBooks File"; click OK; and try again.  Making the QuickBooks File location "blank" tells CPS to work with the open company file.

For Construction Application for Payment Solution - Open QuickBooks with the correct data file and from the Construction Application for Payment Solution System Setup Menu, choose Data Locations.  Delete all of the information in the white box next to where it says "QuickBooks File"; click OK, and try again.  Making the QuickBooks File location "blank" tells CAPS to work with the open company file.

For Wage Manager Solution - Open QuickBooks with the correct data file and click the button titled "Use Open QuickBooks File."

For Crew Overtime Entry Solution - Open QuickBooks with the correct data file.  Start Crew Overtime -> click the Overtime Setup button -> click QuickBooks Setup ->  REMOVE/DELETE the QuickBooks file location -> click the Acquire data from QuickBooks for Setup & Preferences button.

NOTE:  This procedure MUST be completed on each computer that has the above specified software program installed.

If you do not own our software and are receiving this error message, the resolutions above MIGHT help you to diagnose and correct the error.  However, it is best if you contact the 3rd party developer who wrote your QuickBooks add-on for program specific instructions.

 

80040409 - The current version of QuickBooks cannot work with the specified company data file

Resolving Error Code 80040409

Make sure the QuickBooks file you are attempting to access is a supported version.  If you do not use our software programs, contact the developer who created it.

For our software you will need the following versions:

  • Certified Payroll Solution - U. S. Windows desktop versions of QuickBooks Pro, Premier or Enterprise 2003 - 2013.  Future versions of QuickBooks via compatibility updates - released under a current maintenance contract.
  • Construction Application for Payment Solution - U. S. Windows desktop versions of QuickBooks Pro, Premier or Enterprise 2002 - 2013.  Future versions of QuickBooks via compatibility updates - released under a current maintenance contract.
  • Crew Overtime Entry Solution - U. S. Windows desktop versions of QuickBooks Pro, Premier or Enterprise 2007 - 2013.  Future versions of QuickBooks via compatibility updates - releaed under a current maintenance contract or program upgrade.
